AV and Shipping Guidelines
Presentation Format
- All presenters at the BIO Mid-America VentureForum 2007 are asked to prepare and submit their presentations in Microsoft PowerPoint for PC.
- Private company presentations will be limited to 13 minutes in length to include time for introduction and change over. BIO highly recommends that you use no more than 15 slides in your PowerPoint presentation. Large to Mid-cap public companies will have a full 30 minutes to present which includes any time for Q&A.
- Presentations must be submitted to the Speaker Ready Room on CDs, flash cards, or USB ports.
- Immediately following the presentation will be a 30 minute break-out session. Break-out Session Rooms will be assigned prior to the Forum.
Speaker Ready Room
- The Speaker Ready Room will be located in the Crystal Room on the second floor of the Hyatt Regency Milwaukee.
- The staff in the Speaker Ready Room will be available to assist you in reviewing and testing your presentation.
- Only the presenter will have access to the presentation file once it is checked into the Speaker Ready Room server. At the end of each day, presentations for that day will be deleted from the presentation room PCs and the server.
- Speaker Ready Room Hours:
- September 24 4:00 p.m. - 7:00 p.m.
- September 25 6:30 a.m. - 6:00 p.m.
- September 26 7:30 a.m. - 2:15 p.m.
Submit Presentations On-Site
- Immediately upon your arrival at the Hyatt Regency in Milwaukee, visit Registration in the Pere Marquette room on the second floor to pick up your badge. Next, visit the Speaker Ready Room to check-in your presentation. Allow time to test the presentation. It is suggested that your presentation is received in the Speaker Ready Room no later than four hours prior to your scheduled presentation. (If your presentation is in the morning be sure to check in your presentation the day before.)
- Bring a back-up copy of your presentation with you to the conference.
Presentation Room
- A dedicated computer operator will be assigned to each session room and will advance all slides by presenters.
- At the podium each presenter will have a 17" preview monitor to view their presentations without turning their heads and a "cue light" to prompt the operator to advance their PowerPoint presentation slides. Laser pointers will not be available.
- No overhead projectors will be provided.
- Each room will be equipped with an electronic timer in full view of the presenter. Time limits will be strictly enforced.
- Presenters will NOT be permitted to hook a laptop to the digital projector in the presentation room.
- Microphones will be provided.
- Please plan to arrive in your presentation room 30 minutes prior to the start of your presentation.
Company Literature Shipping Guidelines
As a presenting company at BIO Mid-America your company has the opportunity to display company literature during the conference. We recommend that you ship approximately 50 Investor or Media kits directly to the Hyatt Regency Milwaukee. In order to ensure your kits are received, please use the attached shipping label. Packages should be sent to arrive by Friday, September 21, 2007. Please notify BIO if you plan to provide kits by e-mailing bma@bio.org.
